Trustees In-Person and On-Line Meeting

Guilford, Vermont

Monday, December 15th, 2025 – 6:30 PM

Trustees present: Judith Serkin, Jeannette Tokarz, Emma Hallowell, John Shaw, Josh Nelson & Meghan Ohrstrom

Others present: Amber Hunt (Librarian)

Meeting began at 6:35 PM

The minutes from the November 2025 meeting were approved.

Librarian’s Report – Amber

  • All is well at the library! Thanks Amber.
  • Amber asks if we can assist in tasks (putting away Halloween decorations, getting a new furnace filter, seeking sand for the walkways, replacing lightbulb at front, etc.)
  • Amber is still intermittently buying from Everyone’s Books while we wait out new book supplier.

Co-Chair Report – Judith

  • Building use policy being worked on with Judith & Amber. In progress & will be brought to the board when completed.

Treasurer’s Report – John

  • Profit & loss report on track.
  • Finance committee is still working with the town & dealing with some delays during budget season, but we are hoping for more progress to report in the new calendar year.
  • Finance committee is also working on an updated gift policy.
  • Annual appeal update. We are getting closer to our donation goal. Thank you Jeanette for the labor of love of packing appeal envelopes & thank yous.

Friends of the Library update

  • Continuing to work out the financial flow with the library board. Membership drive to come.

Old Business

  • Discussed the potential of looking over the agenda schedule & dates in our own time for the 2026 calendar year.

New Business

  • Strategic plan of the trustees is ending in 2026. Trustees brought Meghan (me) up to speed on what a strategic plan is. It’s likely we’ll plan the next one in the summer.
  • Jeanette briefs us on getting window shades for bathroom privacy, preventing glare onto computers, insulating, etc. We discussed many potential options of companies to pursue, grants, etc. We need to decide as a board if we should define “replacing building windows” as part of our strategic plan.
  • January 26th we will address the bigger picture of building improvements.
