Guilford Recreation Commission (DRAFT) Meeting Minutes 2.12.25

Members present: 

Meghan Arthur, Kelsy Allan, Ellen Peters 

Main focus of meeting is to plan for Winterfest:

Possible dates – last weekend of Feb break, or first weekend of March. Agreed that March 2nd, after Town Meeting day, would be ideal. Question of what time would get the most volunteers/community members. 2-5 would incorporate daylight and evening hours. Could shorten to 2-4 if easier. Location? Guilford playscape or fairgrounds? If fairgrounds, could parking be plowed out prior to winterfest event? Allowed to have bonfire? Groom cross-country ski trail? Meghan to follow up with David Franklin, president of fairgrounds board. 

Activities for winterfest? Holding space for community members to come together and spend time outside. Sledding, snow-sculpture contest, hot chocolate, ice candles, bonfire, cardboard sled races (or stuffy sledding if a big enough hill isn’t available), skiing, snowshoeing, s’mores…

Ellen can bring cardboard for cardboard sled races. Kelsy happy to manage bonfire (if allowed). Meghan to get ingredients for s’mores and hot chocolate. Ellen to get prizes for snow sculpture contest and sled contest. Kelsy and Ellen can bring camp stoves for hot chocolate making (need large thermos). 

Desire to involve Guilford Central School and homeschool community. Ellen to provide GCS staff with winterfest flier. 

Town meeting tabling:

Rec commission was offered to table at town meeting, March 1. Commission would like to accept, with un-manned table. Include Winterfest poster, flier about ongoing and upcoming rec commission activities (ski rentals, yoga, garden tour, walking group, fiber arts group), and sign-up sheet for new or interested volunteers/commissioners. Ellen to create winterfest poster, Meghan to create overall flier about upcoming and ongoing rec commission activities, and sign-up sheet for anyone interested in joining the commission or volunteering. Kelsy to send any photos of previous rec commission activities to rec commission email for all commissioners to access. 

Recruiting more commissioners: 

Ellen Peters needs to formally submit bio and application info to selectboard, who can vote her as a formal rec commission member. Reminder that we need at least 4 commissioners present at any meeting to formally vote on anything. Need to send reminder to current commission members to attend meetings. Haven’t voted to approve minutes formally for last 4-5 month’s meetings.
