Auditors Meeting Minutes 12.4.25

The Guilford Elected Auditors met by zoom on Thursday, December 4,  at 3 PM. We discussed the Annual Report and began to develop a work plan for this year’s Report.

Began at 3 PM Present:  Lindsey  Mitchell, Elly Majonen, Erika Elder, Cathi Wilken taking notes. Reita Lashway called in to join at 3:08.

Briefly reviewed last year’s report, discussing that our main work is to create and send a report for this past year.

As we began to discuss the matrix, it became clear that Reita was not able to comfortably participate in the discussion.  We decided to reconvene the meeting for a work session on Monday at 3 PM, in person at the Town Office.

At about 3:50 PM adjourned to 3 PM at town office Monday in person.

Review the Matrix 

This is a listing of all content. Some is up to us, in addition to what is required by the law. P 17 defines the requirements.

Added by us in last few years: memories, pull out of stats, contact info with report instead of separate page

Beginning now through mid December we should focus on the Town and Human Service reports.

To edit Town & human service reports:

    work on copies

     Move the Contact info to the end

     Remove header and greeting

     Contact info should include, in this order:

        Name, position, phone, email, web address

Move this report to the ‘finished’ folder, and initial and date this report in the matrix.

Remove it from the “to be proofread”folder.

Discussed responsibilities based on personal strengths and preferences.

Lyndsey would like to start editing the HS reports, work on pie charts/graphs for the financial reports

Cathi would like to work on memories

Reita will start with the vital statistics. Uriel is sending the link to her Tuesday.

We’ll continue to discuss the dedication and ask Bob Tucker to write it.

We’ll ask Elly to continue the fund reports the way she did them last year.

We’ll do a weekly check-in by zoom to see how we’re progressing.  Our next check-in will be on Monday, December 15, at 4 PM by email.
