Guilford Free Library Trustees Meeting 7.15.24 Draft
Guilford, Vermont Mon July 15th, 2024 6:30pm
Trustees present: Laura Lawson Tucker, John Shaw, Nika Fotopulos, Sandra Cortes.
Others present: Leah Gessner (asst Librarian), Lesley Malouin (Friend), Amber Hunt
(Librarian), Linda Hay (Friend)
Trustees Absent: Judith Serkin, Jeannette Tokarz, Josh Nelson.

–Accepted minutes from June Meeting
-Librarian’s Report – Amber
Our new internet through First Light has been installed and is working well.
Summer story time has been happening on Wednesday mornings at the school gardens with
Amber. There are books relating to growing food that are being given away to children at the
Garden Story hour.
Camp started today with Emma Hallowell for the next 2 weeks.
Cathi has been transferring information to Amber for the last 2 weeks and has been
generously offered to be available for questions moving forward.
Amber shared her report by organizing it in relation to the goals that the Trustees laid out in
the strategic plan.
The Library bought an energy efficient air conditioner for use on hot days. The unit will be
installed by this Wednesday, hopefully.
The last week of camp, Stage and Stream, August 5th through 9th is still looking for more
campers grades 4-8. Spread the word!
–Treasurer’s report – John
We just transitioned to a new director. We looked at the report for FY’24 which ended July 1.
There are a couple items still hanging out there before fully wrapping up the year.
Overall, we did good! We were just slightly over our budget, so we dipped into the reserves of
the Friends of the Library.
A generous bequest was gifted to the Library. We are grateful for the donation.
The Budget report for the beginning of July is not yet in, since we are only 2 weeks in and
Amber just started.
-Building ADA update – Jeannette and Judith
Jeannette is seeking out a potential architect for this project, and is reaching out to the
architect who worked on the BBCC renovation.
-Plan for Librarian Evaluation – Laura
It will happen next June 2025 to match the calendar.
-Review By-laws – Laura
This has been rescheduled for the August Trustee’s meeting. Laura will send the latest
version of the By-Laws by email, all Trustees are asked to read them before next meeting.
-September 7th Cello Concert – Sandra and Lesley
Lesley has drafted promotional flyers. These will be reviewed by Judith.
A subcommittee of Lesley, Amber and Sandra was created to figure out how tickets will be
sold online and/or in person. There is a 200 ticket capacity.
Sandra shared her 2013 Cello concert notes that she reworked for this 2024 edition to help us
get ready for this year’s concert.
There is a lot to make this work! We need all Trustees and Friends, and their friends and
family to help make this a magical evening for all.

-Planning for the Fair – Sept 1 and 2
The Gazette has been under the wing of the Library since its creation. Amber is supportive of
the Gazette continuing at the Library. And Cathi hopes to be involved moving forward in the
Gazette operations.
The Gazette would like to put up a poster at the Fair in the Library booth about how to get
involved in the Gazette and its importance to the community.
Sandra requested the regular library booth spot and requested extra space for the Gazette
poster. It will be in the shape of a sandwich board. And there is space for it at the booth.
Amber will write up a spread sheet for taking shifts for the Fair Library booth.
-Hot Dog Roast
This will happen on Wednesday August 7th 5 -7pm outside at the Library.
Friends of the Library
Amber will send an update email to say when the next Friend’s meetings will be.
